A tree-care company had grown around a very hands-on process. The work happened in the field, but calculations, proposals, notes and invoicing still had to make their way back through the office. Customers could wait six to eight days for the next step. We built the field software to close that gap.

The problem

The field team moved quickly. The paperwork did not.

Most of the spring and summer was spent with technicians in the field, consulting with customers, assessing trees and pricing future work. The information needed to create a proposal already existed by the end of the visit. It just was not ready to send.

 

The customer could be ready to say yes while the business was still days away from sending the quote.

That delay mattered because customers did not always wait. Some assumed the company was too busy or no longer wanted the work, then hired a provider who could respond sooner.

The system

Move the calculation into the field.

The technician should not have to finish a visit, carry the information back to the office and wait for someone else to reconstruct the job. We built a web application that turns the technician’s field inputs into usable treatment and pricing information while they are still with the customer.

The calculator is designed around the information an arborist has during the visit. Depending on the service, that can include the number of trees, species, DBH, multiple trunks, service date, treatment goal and other job-specific inputs.

Tree-care services are not priced or mixed from one universal formula. The application applies the correct logic based on the service and the measurements gathered in the field.

Field calculations are only useful if the next part of the business can use them. The application connects the workflow into ServiceTitan so job information can continue into the invoicing process instead of being retyped by the back office.

As the field team grew, the application gave each technician a consistent way to calculate services and move work forward without creating the same amount of administrative work back at the office. The goal was not just to make one calculation faster. It was to make the operating process easier to repeat as the company handled more work.

The result

Both phases are live. Field technicians now have a purpose-built tool for service calculations and pricing, while the back-office workflow can move into invoicing with less manual reconstruction of what happened in the field.
